Free Tutoring & Coaching Invoice Template
Bill per session, per package, or per month — a clear invoice keeps parents and adult students on track with payments.
Tutors, coaches, and education businesses usually bill in one of a few patterns: per individual session, a bundled package of sessions, or a recurring monthly rate. Whichever you use, the invoice should make it obvious exactly what was delivered — session dates, subject or topic, and duration — so there's no confusion for parents paying on a student's behalf or adult students tracking their own spend.
What to include on a tutoring invoice
- Student name (even if a parent or guardian is the paying client)
- Session dates, subject, and duration, or the package name if billing a bundle
- Rate per session or per hour
- Any materials or practice test fees as separate line items
- Payment terms — many tutors use Due on Receipt or bill before the next session
Package and subscription billing
If you sell session packages (e.g., "8-session IELTS prep package") or a recurring monthly rate, state the package clearly on the invoice along with the date range it covers, so both you and the client have a record of what's been paid for and how many sessions remain.

- How should tutors bill for cancelled sessions?
- State your cancellation policy in your invoice notes or terms (e.g., 24-hour notice required, or late cancellations are billed) so it's documented, not just verbal.
- Should the invoice show the student's name or the paying parent's name?
- Both are useful — bill to the paying parent or guardian as the client, but note the student's name in the description so records are clear.
- Can I invoice for a package of sessions upfront?
- Yes — list it as a single line item (e.g., '8-Session IELTS Package') with the total price, and note the date range or expiry if applicable.
- Do tutors need to charge GST/HST?
- Only if registered for GST/HST, generally required once your worldwide taxable revenue exceeds $30,000 over four consecutive quarters. Some educational services may also have specific exemptions — check current CRA guidance for tutoring services.
